Marketing & Customer Experience Co-ordinator
Looking for a broad Marketing & Customer Experience role, with lots of hands-on experience, that also changes lives?
The Balance Institute is a fast-growing, purpose-led executive coaching company empowering women to lead lives with greater balance.
After 4 years of rapid growth, we have now created a new Marketing and Customer Experience role to support further expansion.
This is a casual role, however for the right person who has proven themselves and grown the role, it has the potential to become permanent full-time in future.
Role Details
- Casual - approx 25-30 hours per week
- Reporting to the CEO
- Work from home
- Entry level role with huge growth potential and fabulous exposure
- AU$30 + super per hour
What this role will do
This role is here to help a fast-growing start-up reach its big goals, faster, by supporting the CEO in 3 key areas:
Lead Generation
Support the team to build a consistent lead flow of ideal prospects ready to change their lives:
Key tasks include:
- Create graphics, videos, reels, email campaigns, calls to action and other elements to support challenges, new product launches and retreats
- Scheduling social media posts across various channels, including Facebook, Instagram and LinkedIn
- Use AI software to generate short clips and reels from pre-existing content, add to branded templates and schedule
- Support client and prospect events and retreats through logistical support, including catering research and liaison, sourcing of dining options, sourcing client gifts and other event materials, drafting of running plans
- Help promote and grow the Balance & Beyond Podcast with the creation of landing pages, promotional tiles, launch emails and social media content
- Build sales, promotions, landing pages and funnels in Kajabi to support marketing campaigns
- Create worksheets and other branded assets as required from templates in Canva
Client Experience
We take changing lives seriously around here, and your role will be to support the team to provide an exceptionally positive experience to all clients
Key tasks include:
- Build out new programs and course materials in Kajabi using provided content, including videos, downloads and written materials
- Create posts in various Facebook groups
- Maintain coaching projects in Kajabi, including updating promo tiles, uploading calls and updating landing pages
- Assist with building out automation flows to reduce the reliance on manual processes
- Manual onboarding and offboarding tasks from various programs
- Create the Weekly Client Report based on multiple data sources to track client progress and identify who needs support
- Send clients homework feedback and other communication
Calendar & Diary Management
Optimise our staff and client productivity and ensure all coaching sessions add as much value as possible
Key tasks include:
- Assist in managing calendar availability for key staff using Calendly, involving monitoring bookings, deleting duplicates and rescheduling as required
- Calling clients to book coaching calls in calendars, confirm appointments or reschedule as required

What traits you need to be successful
- You are highly motivated to learn and like working independently. You will need to be ok with building the plane while it’s flying and think on your feet, fast. This also means you have huge scope to shape your role and expand it over time.
- You must have an eye for detail and can spot a wrong font or misaligned graphic quickly
- You need to be an exceptionally strong communicator, written and verbal. This role is about telling stories through words, imagery and design so this must be a strength of yours
- You are tech-savvy and able to pick new technologies up quickly with training. This role interfaces with CRM, email marketing, Canva, Kajabi, Zapier and a myriad of other software programs specific to the coaching industry
- Others would say you have a positive attitude and you're eager to sink your teeth into something that matters and learn a lot about marketing fundamentals
What past experience you need
- A degree is great but not essential. More important is a hunger to build a career, grow your skills and unleash your creativity
- Must have a stable internet connection, access to a computer and a suitable background for video Zoom calls

For the right self-motivated person, this is a dream role with so much scope to grow! Joining a start-up is an exciting opportunity for someone who can think quickly, be flexible and see opportunity everywhere. You will be enthusiastic, able to prioritise your work and hungry to support the business grow.
However, a start-up environment isn't for everyone. If you are not prepared to roll up your sleeves, if you struggle to be flexible or if you aren't naturally curious, then this is not for you. If you need someone to tell you what to do over and over again, want most days to look the same or want to do the bare minimum to get by, this is also not for you.
Not everyone wants to help build a plane while it's in the air, but to some this is exactly what excites them and is where they can be their best.
